What is Master Data Management (MDM)?
Master Data Management (MDM) is the practice of creating one trusted, consistent version of core business entities — like customers, products, or suppliers — by reconciling records that are scattered and conflicting across many systems.
At a glance
- Produces a 'golden record' — one authoritative version of each entity.
- Reconciles duplicates and conflicts across CRM, ERP, billing, and other systems.
- Uses matching/entity-resolution rules to decide which records are the same.
- Foundation for a single customer view, accurate reporting, and clean AI inputs.
The problem it solves
The same customer often exists in your CRM, your billing system, and your support tool — with different spellings, addresses, and IDs. Ask 'how many customers do we have?' and each system gives a different answer. MDM resolves this by matching records that refer to the same real-world entity and merging them into a single golden record.
That golden record becomes the trusted source everyone agrees on: reports reconcile, marketing doesn't email the same person twice, and analytics stops double-counting.
How it works
MDM pulls records from each source system and runs matching rules — deterministic (exact keys like email or tax ID) and probabilistic (fuzzy matching on name, address, and other attributes) — to decide which records are the same entity. It then applies survivorship rules to pick the best value for each field (for example, the most recently verified address).
The result is published back to consuming systems or exposed as a trusted reference. Increasingly, AI/entity-resolution techniques improve the matching, especially for messy, high-volume data.
Frequently asked questions
What is a golden record in MDM?
A golden record is the single, authoritative version of a business entity (e.g. a customer) built by merging and reconciling that entity's records from all source systems into one trusted profile.
What's the difference between MDM and a data warehouse?
A data warehouse stores and analyzes data; MDM is specifically about creating one trusted version of core entities. The warehouse often consumes MDM's golden records so its reports count each customer or product only once.
How does MDM decide two records are the same entity?
It uses matching rules: deterministic matching on exact identifiers (email, tax ID) and probabilistic/fuzzy matching on attributes like name and address. Survivorship rules then choose the best value for each field.
Why does MDM matter for AI and analytics?
Models and reports are only as good as their inputs. Duplicated or conflicting entity data produces double-counting and wrong predictions. A clean golden record gives AI and analytics a reliable foundation.
